Information We Collect

When you call a phone line we operate or communicate with us by text, we may collect:

• Your name
• Your phone number
• Appointment details (service type, date, and time)
• Audio of your conversation with the AI receptionist
• A written transcript of the conversation
• Your communication preferences (SMS opt-in)

When a small business signs up for our service, we collect business name, address, owner contact information, business hours, website URL, and (for customers who connect Square Appointments Plus or Premium) appointment-management access handled through Square’s OAuth flow. We never see your Square password.

How We Use Your Information

We use the information we collect solely to:

• Send callers booking links they request during a phone call
• Provide directions or other information about the business that callers request
• Send call summaries and voicemail notifications to the business owner
• Respond to your questions
• Operate and bill for the service

We do not use your information for marketing purposes unless you separately opt in. We do not sell, rent, or share your personal information with third parties, except as necessary to deliver the services described above. Service providers include Twilio (telephony and SMS), Vapi (AI voice orchestration), OpenAI (large language model), Cartesia and Deepgram (text-to-speech and speech-to-text), Square (appointment management for customers on Square Appointments Plus or Premium), Supabase (database hosting), and Render (application hosting).

SMS/MMS Messaging

By verbally requesting a text message during a phone call with one of our AI receptionists, you consent to receive transactional text messages from Set And Forget at the phone number you provide. Messages may include booking links and directions to the business.

• Message frequency varies; typically 1-2 messages per interaction.
• Message and data rates may apply.
• Reply STOP to any message to opt out of future texts.
• Reply HELP for assistance.
• Opting out of SMS will not affect your appointments or your ability to do business with the company you called.

Advertising and Analytics

Our marketing pages use the Meta Pixel and Meta’s Conversions API to measure the performance of Facebook and Instagram ad campaigns. When you visit a marketing page, Meta’s tools record the visit (including IP address, browser user agent, referring URL, and Meta cookies if set) so that we can attribute ad clicks to outcomes such as form submissions and so Meta can optimize ad delivery.

When you submit the Callie intake form, your email address and name are sent to Meta in a one-way, irreversibly hashed form (SHA-256) along with the same event so Meta can match you to your ad click without us sharing your plaintext contact details. We do not use this data for any purpose other than measuring ad performance.

To opt out, you can disable third-party cookies in your browser, use a tracking-blocker extension, or adjust your Meta ad preferences. Disabling cookies will not affect your ability to use the service.

Data Retention

We retain your information only as long as necessary to provide our services and fulfill the purposes described in this policy. You may request deletion of your data at any time by contacting us at admin@setandforget.ai.

Security

We use reasonable administrative and technical measures to protect your personal information. No method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
